CLASS SERIES CONCEPT

Within the UW Libraries Advancement team, assist in planning, managing, and directing Libraries advancement activities and efforts to secure gifts. This is a stand-alone job class.

BASIC FUNCTION

Assist in planning, managing and directing Libraries advancement activities and efforts to secure gifts from individuals, corporations and foundations.

DISTINGUISHING CHARACTERISTICS

Reporting to the Assistant Dean of Libraries Advancement, perform frontline fundraising and discovery.

In the area of frontline fundraising, assist in planning, managing and directing the Libraries’ advancement activities and efforts to secure gifts from individuals, corporations and foundations. Engage in extensive direct contact with the Libraries diverse internal and external audiences, including alumni, friends, major donors, faculty, staff and volunteers. Interact directly with high-end annual and major gift donors and prospects. In the area of discovery, seek to achieve fundraising goals through personal visits and customized solicitation strategies with key donors.

In the area of discovery, proactively reach out to qualify Libraries leads; solicit individual prospective donors when appropriate and qualify major gift prospects to proactively cultivate future gifts. Qualify major ($25,000+) and planned gift prospects from research, prospect tracking tools, donor base, and fundraising colleagues.

In the area of volunteer management, assist the Assistant Dean with recruitment and onboarding of volunteers for Libraries Advancement committees.

TYPICAL WORK

Frontline Fundraising

Identify, cultivate, solicit and steward major gift prospects, including individuals, corporations and foundations. Provide strategic leadership in collaboration with the Assistant Dean for Libraries Advancement in designing and implementing advancement programs needed to sustain gift support for UW Libraries.

Manage a large portfolio of prospects who have the potential of becoming high-end annual major and planned gift prospects and increasing the number by at least 10% each year. Solicit and close gifts, focusing on minimum asks of $25,000 and up and with a stretch goal on gifts between $100,000 and $500,000.

Coordinate the participation of and provide relevant training for librarians, curators, volunteers and development staff in fundraising activities.

Prepare written proposals, informational materials, endowment agreements, stewardship materials, gift illustrations and other materials needed to secure gifts and steward relationships.

Plan and implement the Libraries corporate and foundation relations fundraising program. Partner with Libraries staff to identify, write and submit private (non-government) foundation grants. Communicate a compelling value proposition to corporate partners. Prepare background and briefing papers for all relevant parties as necessary.

In consultation with the Assistant Dean for Libraries Advancement, annually establish goals, objectives and strategies for gift fundraising, and regularly assess progress toward goals.

Participate cooperatively in the University’s prospect management and tracking system.

Work cooperatively with Libraries staff, the University’s central development, Planned Giving, Corporate and Foundation Relations, and Annual Giving in donor cultivation and solicitation.

Discovery

Proactively reach out to qualify Libraries leads through cold calls and emails making 5 substantial contacts per week and an average of 1-2 visits per week. Solicit individual prospective donors when appropriate and qualify major gift prospects to proactively cultivate future gifts.

In collaboration with the Board of Directors of the Friends of the UW Libraries, develop and leverage strategic “discovery” activities, including events and publications and other community building projects to create continuous connections with and financial support from library constituents, particularly Friends of the Library members. Utilize event attendance lists to cultivate relationships with those who have the potential of becoming major gift prospects.

Qualify major ($25,000+) and planned gift prospects from research, prospect tracking tools, donor base, and fundraising colleagues.

Work in partnership with the Assistant Dean for Advancement to develop techniques to begin cold relationships and move them through the donor cycle by cultivating these relationships to gifts conversion.

Professionally and clearly, articulate the Libraries vision and funding priorities in all communications.

Work with front-line fundraising colleagues in Libraries, Regional Advancement, Corporate & Foundation Relations and Planned Giving to develop and support strategies for activities and special events for qualification and solicitation efforts.

Responsible for prospect/donor call coordination and briefing materials associated with activities for potential major donors for the Libraries.

Volunteer Management

Assist Assistant Dean with recruitment of volunteers for Libraries Advancement committees; and

Other

Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Bachelor’s degree and 4 years’ experience of progressively responsible experience in institutional development/advancement, with an emphasis on discovery work and/or soliciting major gifts.

OR

Equivalent combination of education/experience.
