Checklist – Create Regular Represented CSEs Position

This checklist helps HR Partners and Additional Approvers ensure that a create position request for Represented Civil Service Exempt Staff is complete and ready for the HR Compensation Office’s detailed review.
- Review Position Request Reason. Ensure reason selected is Create Position > Employee.
- Confirm that a Job Posting Title has been provided.
- For Represented CSEs, this is typically the job profile name.
- Review Requested Job Profile
- Is the requested Job Profile active and consistent with the duties? A helpful resource for this is the Job profile list and specs for Represented CSEs.
- Check the Job Description Summary. This field is optional. It can be blank. If used, it should contain a few sentences to describe the position’s purpose.
- Review Job Description
- Must include a detailed description of position’s specific job responsibilities with estimated percent time breakout. Total must be 100% regardless of position’s % FTE, typically in blocks of time 5% or larger.
- Do not merely copy and paste this from the job class spec; this must be a description of the specific position in your organization.
- Minimum qualifications (MQs) must contain the exact language of the MQs on the job classification negotiated with the union. Additional “soft” non-quantified language and position-specific qualifications may be added to a “desired qualifications” section. Requests that do not include the exact language of the MQs on the specs will be sent back. Exception: UAW Research Scientist/Engineer position MQs can be customized to reflect the related field and relevant experience required.
- Job duties in the Workday Job Description field must align with the duties documented on the attached forms (i.e., Research Scientist/Engineer Questionnaire)
- Confirm Worker Sub-Type is Regular Salary
- Confirm Scheduled Weekly Hours have been entered and align with selected Time Type and Worker Sub-Type.
- Include Attachments (if required)
- A Research Scientist/Engineer Questionnaire is required for all UAW Research Scientist/Engineer and SEIU 925 IHME Research Scientist positions.
- Confirm Comments have been entered
- Provide comments/justifications to communicate additional details about the position, such as:
- This is a duplicate of PN-XXXXXXX. This is a position description that did not convert to Workday because it was vacant at go-live.
- The name of the employee in the position when last occupied was ________.
- Any other organizational context that would help HR Comp understand the need to create this position, such as the department is growing, reorganizing, we received a new grant, a professor is bringing in a new lab from another institution, etc.
- Provide comments/justifications to communicate additional details about the position, such as:
