About Workday Learning at the UW
Workday Learning is a limited learning management system within the larger Workday platform. Workday Learning is administered through a partnership between UWIT and UW Human Resources.
Within UWHR, Professional & Organizational Development (POD) is leading the effort to implement trainings for employees in Workday Learning, which includes working with clients and stakeholders across the UW.
At this time:
- Workday Learning is for UW employees, not for students.
- POD is operating with limited staffing and resources.
- When considering implementation, prioritization will be given to:
- Compliance-related enterprise-wide trainings and other high-volume or high-impact trainings and
- Online courses that are entirely self-paced and meet defined standards (see below).

Timelines and expectations
Importing, testing, and launching a course in Workday Learning is an intensive, multi-step process. It’s imperative that your training is final and complete before you submit it to POD. This means that your training must be approved by any stakeholders or authorities as appropriate, is error-free, and meets instructional design and accessibility requirements as defined in POD’s Learning Experience Standards.
POD will have limited capacity to republish versions of your course due to errors or inaccuracies. In addition, publishing new versions impacts learners who have started but not completed the course.
Once you’ve completed the steps below, POD will work with you to determine timelines for your project.
Workday Learning checklist for online courses
- Do you have, or are you preparing, an online course for UW employees? Is your course finalized, or will it be finalized soon?
- Does the platform or application you’re using allow you to produce a SCORM file?
- Does your course have executive sponsorship or approval?
- Is your course compliance-related, or is it a high-volume or high-impact training for UW employees? In other words, do all or some employees need to take your course to get access to a specific security role or to fulfill a legal, policy or regulatory requirement?
- Does your course meet all of the instructional design and accessibility requirements defined in this Learning Experience Standards document? Along with meeting the stated requirements, we highly recommend you follow the best practices outlined in the document. Your course must meet the requirements as defined in POD’s Learning Experience Standards before initiating the intake process with POD.
Workday Learning intake for online courses
If you can respond “yes” to each item in the checklist above, you may be ready to initiate the intake process!
To begin the intake process, email pod@uw.edu. POD will respond within three business days with an intake form for you to complete.
We’re excited to continue growing Workday Learning and look forward to partnering with you!
Hosting documents in Workday Learning
Workday Learning has the capability to host job aids and other training related-documents or materials that support learning programs.
A few things to consider:
- If the document has information that changes frequently or needs regular updates, consider hosting this information elsewhere, for instance on your website.
- Documents will be accessible to all employees who log into Workday Learning.
- Documents appear as “lessons” in Workday Learning.
- After a learner has accessed a document, they will see “Lesson Completed!”
- Learners must select “View Lesson Again” to access the document again.
- There is no version control for standalone lessons; updated content will override the previous content.
- All documents must meet accessibility standards.
- Word documents do not open directly in Workday; they must be downloaded. Learners may continue to refer to a downloaded document even after it’s been updated in Workday.
- PDFs open directly in Workday and can also be downloaded from Workday, but extra steps must be taken to ensure the PDF is accessible, for example if creating a PDF from a Word doc, you must also review the PDF’s Accessibility Tags.
To begin the intake process for your document(s), email pod@uw.edu. POD will respond within three business days with an intake form for you to complete.
