Workday Learning implementation

Last updated: October 13, 2026

A new way to learn at the UW

Workday Learning launched in January 2026 with the required course Understanding Civil Rights as part of a limited pilot focused on delivering and tracking required employee training. This pilot introduced a new way to access learning at the University of Washington right inside the Workday system you already use.

Why Workday Learning

Workday Learning will eventually become UW’s enterprise learning management system for all employees. The pilot with Understanding Civil Rights allowed us to:

  • Meet a federal requirement: All UW employees were required to complete a civil rights anti-discrimination online course by June 2026.
  • Deliver training directly in Workday—no more juggling multiple systems.
  • Learn what works (and what doesn’t) for enterprise-wide training at the UW.

Timeline and what to expect

The pilot focused on a single, federally required training, which allowed UWHR and UWIT to validate the system, support model, and reporting. After the initial pilot, implementation continued in 2026 with two courses internal to UWHR, which enabled us to better understand the Workday Learning system and fine-tune our processes.

  • Understanding Civil Rights
    • Launched January 2026 in Workday Learning, with employees expected to complete by March 10, 2026.
    • Subsequently assigned to all new employees on an ongoing basis.

What’s next

Workday Learning is rolling out in thoughtful stages to make sure it works well for everyone before it scales more broadly. This paced approach helps the University deliver a consistent experience, avoid duplication across systems, and ensure teams receive the right level of support.

As we move forward with Workday Learning, we will be looking at compliance-related enterprise-wide trainings and other high-volume or high-impact trainings for possible Workday Learning implementation. If you have trainings you’re interested in delivering through Workday Learning, see the starter guide published in October 2026.

No; at this time you can only view enrollments and completions for the courses in Workday Learning (see above, under “Timeline and what to expect”). Currently, other required trainings are hosted in a variety of systems and platforms, not Workday Learning.

How can I see enrollments or completions in Workday Learning?
  • Enrollment and completion data can be viewed via employees’ profiles in Workday. Pull up the profile, select Career from the options at left, and then select Learning from the row of tabs across the top.
  • Managers/Supervisors can view learning enrollment and completion data for their own teams, including skip-level reports.
  • HR Partners and Learning Coordinators can view learning enrollment and completion data only for the supervisory organizations assigned to them (for Learning Coordinators, this role includes inheritance of subordinate orgs). Both HR Partners and Learning Coordinators can access these reports in Workday Learning:

If you missed the application for the Learning Coordinator role in August 2026: Use the Security Role Change Request form to request this role (enter “Learning Coordinator role” in the comments). Please note that the Learning Coordinator(s) should be the officially designated person(s) in your organization responsible for tracking training compliance, and in most cases this security role is being limited to two per organization/department.
