Coming soon: New Absence Calendar experience in Workday

Workday has launched a redesigned Absence Calendar experience, bringing together key time off features into one modern, user-friendly interface. This new experience will be released on September 11, but we’re sharing information ahead of time to help you know what to expect.  

What’s Changing? 

A new Manage Absence worklet consolidates multiple actions previously housed under the “Absence” worklet —Request Absence, Correct My Absence, My Absence, and Absence Balance — into one streamlined location. 

Here are some of the key updates: 

  • Balances Moved to the Right
    Time off balances now appear on the right side of the screen, providing better visibility and alignment with request flow. 
  • Easy View of Requested Time Off
    Quickly see all time off and leave requests from the past 6 months through the next 12 months—along with their statuses—on the right-hand side. This layout simplifies reviewing pending items and makes it easier to locate and edit requests. 
  • Switch Worker
    For Time Initiates that spend a lot of time in multiple absence calendars, easily switch from one worker’s calendar to another’s using the “Switch Worker” button, in the top right-hand corner above the calendar. 

Additionally, an optional Request Absence worklet – which can be manually added to your apps – allows you to request time off directly from the calendar without leaving your spot in Workday with a responsive pop-up, reducing clicks and simplifying entry. 

The Request Absence popup replaces time entry time off. Time offs can no longer be entered directly in the timesheet. Instead, easily enter a time off while completing your timesheet by clicking “Actions” above your weekly timesheet and then selecting Request Absence (this prompt is called, “Request Absence for Worker” if you are a Time Initiate entering on behalf of a worker). 

What You Need to Do 

No immediate action is required, but we encourage you to: 

  • Review the Manage Absence webpage 
  • Begin using the calendar to request time off instead of entering through the timesheet 
  • Inform your teams and identify any documentation that references the current processes
