BASIC FUNCTION
Within UW central receiving, receive, inspect, document, and stage goods for distribution using internal transaction processing tools.
DISTINGUISHING CHARACTERISTICS
Under general supervision, coordinate and manage centralized receiving operations through internal controls, customer consultation, and tracking chain of custody from receipt through outgoing delivery.
TYPICAL WORK
Receive all inbound campus deliveries at the designated Central Receiving facility;
Inspect shipments for accuracy, completeness, and visible damage;
Identify discrepancies, damages, or missing items and initiate appropriate follow-up;
Monitor and resolve package issues, coordinating with departments on next steps;
Record receipt of goods accurately and in a timely manner to support payment release;
Upload packing slips and related documentation to support a complete audit trail;
Ensure compliance with UW financial controls and documentation standards;
Prioritize deliveries based on operational needs;
Utilize chain-of-custody systems to enable end-to-end visibility from receipt to outgoing delivery;
Recognize and route excluded delivery types (e.g. controlled substances, live animals, time-sensitive research materials) according to established procedures;
Operate university vehicles to make deliveries across campus as needed;
Provide training on receiving processes;
Generate and review reports on receiving, inventory, and delivery to maintain operational efficiency and resolve issues;
Participate in process improvement for service improvement;
Perform related duties as required.
MINIMUM QUALIFICATIONS
High school graduation or equivalent AND two years experience in receiving logistics, warehousing, mailing services logistics, or supply chain operations; valid motor vehicle operator’s license.
Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
