DEFINITION

Maintain inventory records, affix tags to equipment, supervise annual departmental inventories, process surplus property for disposition and prepare associated reports.

DISTINGUISHING CHARACTERISTICS

This class is at the fully qualified level. Conduct management control of all non-expendable equipment and furnishings; report to Director of Business Services and Contracts; may lead or direct clerical employees or warehouse employees. Must understand property responsibility including terms and conditions of purchasing, sales, records, registers, and electronic data processing.

TYPICAL WORK

Manage the agency-wide inventory control system;

Maintain cycle inventory control and follow-up systems; evaluate departmental returns, and investigate discrepancies;

Issue inventory instructions to new department chairpersons and follow up on results of special inventories;

Maintain E.D.P. card decks for a double-entry computerized system of all non-expendable agency equipment; arrange for E.D.P. key punching and processing;

Assist department chairpersons in locating missing equipment through research of purchase orders and receivers reports;

Prepare special reports based upon computer analysis of equipment by acquisition date, cost basis, asset tag number, or other basis;

Affix tags or supervise their attachment to all non-expendable agency equipment through coordination of purchase orders with receivers reports;

Act as the contact for reports of stolen or missing equipment; clear such reports for action by Security Department and follow up on probable cause;

Respond to requests for interdepartmental transfer of equipment and modify card decks to reflect such actions;

Receive and maintain custody of surplus equipment; sign for the agency on certificates of declaration of surplus;

Dispose of surplus equipment in the best interest of the agency and the State; coordinate disposal actions with State Surplus Property Division; advertise, display to the public, and transfer, sell, or destroy as indicated;

Spot-check (when directed by higher management, and with or without a state auditor present) to determine the accuracy of departmental inventory returns;

Perform related duties as required.

MINIMUM QUALIFICATIONS - UW Contract Classified
DESIRABLE QUALIFICATIONS - Classified Non-Union

High school graduation with at least two years' experience in property management, purchasing, central receiving, or closely related fields. Additional education or experience in accounting is desirable.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Examination Requirements:

A job element examination (including written, E & T and oral components) scored on the basis of job related experience, training, skill, ability and other elements which are established through job analysis.
