{"id":1029,"date":"2020-12-18T15:41:34","date_gmt":"2020-12-18T23:41:34","guid":{"rendered":"https:\/\/hr.uw.edu\/talent\/?page_id=1029"},"modified":"2025-12-09T12:13:30","modified_gmt":"2025-12-09T20:13:30","slug":"prepare-and-conduct-interview","status":"publish","type":"page","link":"https:\/\/hr.uw.edu\/talent\/hiring-process\/interviewing\/prepare-and-conduct-interview\/","title":{"rendered":"Prepare and conduct the interview"},"content":{"rendered":"<p>Interviews are your opportunity to ask qualified candidates pertinent questions regarding their skills and to sell the job.<\/p>\n<p>You are not required to interview every candidate. Evaluate all the applications based on the qualifications and skills you are seeking, and interview those who appear most qualified. Interview enough candidates to ensure a fair comparison. Certain collective bargaining agreements may require that a minimum number of qualified bargaining unit applicants be interviewed per open position in the same bargaining unit. Review the <a href=\"https:\/\/hr.uw.edu\/labor\/unions\">applicable collective bargaining agreement<\/a> in advance of selecting candidates to interview.<\/p>\n<h4 id=\"prepare-for-the-interview\">Prepare for the interview<\/h4>\n<ul>\n<li>Develop an assessment rubric. One of the most effective methods for maintaining balance and consistency is to use a rubric. A rubric is an assessment tool that aligns the stated position requirements in a way that can be used to evaluate an applicant. Though time-intensive to create at the beginning of the process, the use of a rubric minimizes subjectivity and increases opportunity for a more thoughtful and objective approach to screening.<\/li>\n<li>Review the <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/interviewing\/fair-pre-employment-inquiry\/\" target=\"_blank\" rel=\"noopener noreferrer\">Fair Pre-employment Guidelines<\/a> in preparation for developing your interview questions. Establish interview questions and utilize the same questions for all candidates interviewed. As a hiring manager or interview panelist, you are responsible for following federal and state employment laws on unfair pre-employment inquiries.\n<ul>\n<li>Consider <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/interviewing\/behavioral-competency-based-interviewing\/\">behavioral\/competency based interviewing questions<\/a><\/li>\n<li>Consider including <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/interviewing\/guidance-on-diversity-interview-questions\/\">diversity interview questions<\/a> and understand what a quality answer looks like<\/li>\n<\/ul>\n<\/li>\n<li>You cannot ask about a candidate\u2019s disabilities. Learn about <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/interviewing\/accommodating-candidates-disabilities\/\" target=\"_blank\" rel=\"noopener noreferrer\">Interviewing Courtesies for Individuals with Disabilities<\/a> and <a href=\"https:\/\/hr.uw.edu\/dso\/\" target=\"_blank\" rel=\"noopener noreferrer\">disability accommodations<\/a>.<\/li>\n<li>Contact the <a href=\"https:\/\/hr.uw.edu\/dso\/contacts\/\">Disability Services Office<\/a> and review the <a href=\"https:\/\/facilities.uw.edu\/access-guide\" target=\"_blank\" rel=\"noopener noreferrer\">Campus Access Guide for Persons with Disabilities<\/a> in case a candidate requests an accommodation.<\/li>\n<li>Prepare a copy of the complete job description to provide to each candidate.<\/li>\n<\/ul>\n<p class=\"uwhr-toc-top-btn\"><a href=\"#toc\">Return to top<\/a><\/p><h4 id=\"screening\">Screening<\/h4>\n<ul>\n<li>Conduct <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/interviewing\/phone-screening\/\">phone screens<\/a> to confirm that candidates meet conditions of employment.<\/li>\n<li>Conduct initial screening. While your recruiting partner will screen for minimum qualifications, as you screen further, it is important to maintain consistency to stay true to the priorities identified when the job posting was created. Attempting to vastly narrow the pool at this stage is unnecessary and can disadvantage candidates who might not appear as qualified at first glance.<\/li>\n<li>Of the candidates remaining, carefully review each candidate&#8217;s application. During the review, be mindful of biases that may be present. Beware of over-valuing applications that were submitted first, or simply giving them more attention. Wait until the job posting end date before reading any applications.<\/li>\n<li>Once interview candidates are selected, review the candidates&#8217; application materials before the interview. Highlight any areas of the resume that may need clarification at the time of interview.<\/li>\n<li>Develop an interview protocol that is within the scope of the position and\u00a0use it consistently.<\/li>\n<li>Provide each member of the interviewing panel\/team with access to the resumes and interview questions.<\/li>\n<\/ul>\n<p class=\"uwhr-toc-top-btn\"><a href=\"#toc\">Return to top<\/a><\/p><h4 id=\"conduct-the-interview\">Conduct the interview<\/h4>\n<ul>\n<li>Each candidate should be interviewed by the same person(s)\/panel and be asked the same questions. Make notes about the candidate\u2019s responses.<\/li>\n<li>Describe the job and how it fits into the department. Explain the role of the department within the University.<\/li>\n<li>Review the job description with the candidate and identify the relative importance of various job responsibilities.<\/li>\n<li>If possible, show the candidate the work setting and any challenges of the physical space.<\/li>\n<li>Ask each candidate if they can perform the essential functions of the position with or without a reasonable accommodation.<\/li>\n<li>Explain the expectations for quality of work, punctuality, attendance, work schedule, working conditions, etc.<\/li>\n<li>Review topics such as overtime, work schedules, vacation scheduling (peak workloads), collective bargaining agreements, etc.<\/li>\n<li>Review the salary range for the position.<\/li>\n<li>Make sure to talk about UW\u2019s excellent benefits package including a wide range of medical\/dental\/life insurance options, retirement program, tuition exemption, U-PASS, etc. If a candidate has questions about specific details of University benefits, it\u2019s best to refer them to the <a href=\"http:\/\/hr.uw.edu\/benefits\/benefits-office-location-and-contact-information\/\" target=\"_blank\" rel=\"noopener noreferrer\">Benefits Office<\/a> or your <a href=\"http:\/\/hr.uw.edu\/contact-us\/\">employment representative<\/a>.<\/li>\n<li>Provide the candidate an opportunity to ask questions.<\/li>\n<li>Advise candidates that <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/background-checks\/reference-checks\/\">references will be requested and checked<\/a> on final candidates. Let the applicant know the time frame for making the hiring decision and any change or delays. Good candidates may have several positions from which to choose, so it is important to make your job attractive and move quickly.<\/li>\n<\/ul>\n<p class=\"uwhr-toc-top-btn\"><a href=\"#toc\">Return to top<\/a><\/p><h4 id=\"after-the-interview\">After the interview<\/h4>\n<ul>\n<li>Debrief with the interview panel immediately.<\/li>\n<li>Discuss strengths first for every candidate.<\/li>\n<li>Group candidates by how qualified they are and discuss candidates who are scored differently.<\/li>\n<li>Collect notes from each person\/panelist for the recruitment file and <a href=\"https:\/\/hr.uw.edu\/talent\/hiring-process\/recording-the-hiring-process\/documenting-recruiting-hiring\/\">retain for three years<\/a>. Consider consolidating collected interview notes into an interview summary.
