If that is not possible, the appointment must be entered by the campus approval deadline for the 9\/15 \u2013 9\/30 pay period. Entering appointments by the campus approval deadline for the 9\/16 &#8211; 9\/30 pay period will ensure that there are no delays to the process of confirming GAIP eligibility and that the ASE will be awarded their time offs in Workday in compliance with contract requirements.<\/p>\n<p>For appointments starting other quarters, please see <a href=\"https:\/\/hr.uw.edu\/benefits\/insurance\/health\/graduate-appointees\/gaip-information-departments\/\" target=\"_blank\" rel=\"noopener\">GAIP: Information for departments<\/a> and enter by the cut-off dates so that there are no delays to the process of confirming GAIP eligibility.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingTwo\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseTwo\" data-toggle=\"collapse\" data-parent=\"#accordion\">Why does the Workday entry of the new ASE appointment have to be nine months?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseTwo\" class=\"panel-collapse collapse\">\n<p>Because Workday will award time off per appointment year annually on the effective date of the appointment, if new appointments are created for each quarter an ASE is employed, balances in Workday will be incorrect and will need to be manually corrected. This will help with accurate sick leave balances in Workday and require fewer manual corrections.<\/p>\n<p>If you need help creating a plan to meet these job management deadlines, your <a href=\"https:\/\/isc.uw.edu\/support-resources\/how-to-get-workday-help\/named-support-contacts\/\">Named Support Contact<\/a> can provide assistance.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingThree\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseThree\" data-toggle=\"collapse\" data-parent=\"#accordion\">What are the exceptions to the nine-month duration of new ASE appointments?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseThree\" class=\"panel-collapse collapse\">\n<p>We recognize that some departments cannot guarantee nine months of funding for ASEs for a variety of reasons. In these cases, the appointment should be entered for the number of quarters offered.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingFour\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseFour\" data-toggle=\"collapse\" data-parent=\"#accordion\">What if the department has guaranteed funding for nine months isn\u2019t sure if it will be RA\/TA\/SA\/Predoc Instructor in any given quarter?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseFour\" class=\"panel-collapse collapse\">\n<p>The appointment should still be entered for nine months, based on the job description in place as of autumn quarter, as this ensures time offs are awarded correctly. When the position changes, a Job Change process must be completed in Workday (e.g., if an ASE is employed as a TA one quarter and as an RA the next).<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingFive\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseFive\" data-toggle=\"collapse\" data-parent=\"#accordion\">How does a Change Job process work?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseFive\" class=\"panel-collapse collapse\">\n<p>Refer to the EWH <a href=\"https:\/\/isc.uw.edu\/user-guides\/change_job_stu\/\" target=\"_blank\" rel=\"noopener\">Job Change \u2013 Student<\/a> webpage for more information about Change Job processes for ASEs. This user guide includes some considerations for determining whether a different business process should be used. Add Additional Job and Termination \u2013 Voluntary are not business processes that should be used for ASEs moving from one job profile to another.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingSix\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseSix\" data-toggle=\"collapse\" data-parent=\"#accordion\">What is the relationship between management of appointments and time off awards?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseSix\" class=\"panel-collapse collapse\">\n<p>Workday is programmed to award time offs based on the effective date of the appointment. For example, if the initial appointment is not entered by the campus approval deadline, for example, the personal holiday will not be awarded to the salaried ASE who is eligible for it. If a termination\/rehire is processed within an academic year an eligible ASE would incorrectly receive an additional award of 28 hours of sick time off.
