Workday Jobs Hub for internal applicants

Welcome to the new way to find your next UW job! With the launch of Workday Recruiting, you’ll now search and apply for jobs directly in Workday using the Jobs Hub app. Simply log into Workday and look for Jobs Hub in your Workday menu. The Jobs website will now be used only for external applicants, while internal applicants will find everything they need in Jobs Hub.

Workday Jobs Hub how-to guidance

Below is a step-by-step preview of what the new internal application process will look like in Workday—so you know what to expect and where to click when it’s time to apply.

🔎 Tips:

  • In each field, enter the company, job title, school, etc., then hit Enter to bring up a list of options to choose from.
  • Experience: When adding “Responsibilities and Achievements,” we recommend copying/pasting from your resume.
  • Education: If a high school diploma/GED is your highest degree, use “Not Provided” for School, “Diploma” for Degree, and “General Studies” for Field of Study.

After submitting, return to the My Applications section of the Jobs Hub.

Common applicant questions and answers

Check the ‘My Applications’ tab in the Jobs Hub and review the status. Below are descriptions of each of the statuses:

  • In Progress: Your application has been received and University of Washington Human Resources (UWHR) is reviewing your resume for minimum qualifications and eligibility.
  • Sent to dept: UWHR has reviewed your resume and sent it to the department’s hiring manager. The department will select the most qualified candidates for interviews and may contact you via phone or email. The information in your candidate profile will be used to contact you, so be sure to keep your information up to date.
  • Not selected: You were not selected for this position. This status can occur at any time after application – during UWHR review or during hiring manager review.
  • Withdrew: You asked to be removed from consideration for the position.
  • Recruitment Canceled: Recruitment was canceled by the department, so the position will not be filled.

The total time it takes to fill any position varies. UWHR’s recruitment teams review applications to help identify candidates for each position. Hiring departments only contact the most competitive candidates to interview.

If your UW employment is ending soon — whether through resignation, layoff, the end of a non-permanent appointment, or another reason — apply for UW jobs through the external jobs site instead of the internal Jobs Hub. This will ensure you can still log in and track your application after your employment ends. When applying externally, select “I have previously worked for the University of Washington” so your application is processed correctly. While you are still an active employee, you may use Jobs Hub to apply for “Open to UW Employee” opportunities, but be sure to update your profile with your personal email and phone number.

Not at this time. Keyword searches will scan both the job title and the job description, which may pull in broader results. Improving search functionality is a priority for the next phase of the project as we refine the applicant experience.

When you return to Jobs Hub and re-run your search, the system will pull in all current postings that match your criteria, including any new ones since you last searched.

No. UW is not able to provide applicant records from UWHIRES. Going forward, any applications you submit will be stored in our new Workday Recruiting system and viewable in Jobs Hub.

Yes. Each application requires you to complete the full application form, including entering work experience and education. The system does not carry information forward from previous applications.

List the positions most relevant to the job you’re applying for, typically covering the last five to seven years. You don’t need to enter your entire career history in the application, especially if you’ve held many roles. On your résumé, include a fuller picture of your work history, focusing on the roles and experiences that best showcase your background.

Once you submit your application in Workday, you won’t be able to edit it — including replacing your resume or cover letter.

Once a job posting closes, it is no longer considered “active.” On your Candidate Home page, the position will move from the Active tab to the Inactive tab.

Once the hiring process has ended and the requisition is closed, your application is no longer active. On your Candidate Home page, the position will move from the Active tab to the Inactive tab.

UW employees can refer external applicants to UW Medicine jobs under the existing UW Medicine Employee Referral Program. There is no referral functionality enabled in Workday Recruiting for campus referrals.
