See more on recognition events, the rule of light refreshments, and food approvals on the <a href=\"https:\/\/finance.uw.edu\/ps\/resources\/food-approval\" target=\"_blank\" rel=\"noopener\">food policy page<\/a>.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingFour\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseFour\" data-toggle=\"collapse\" data-parent=\"#accordion\"> What is the budget for a recognition event?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseFour\" class=\"panel-collapse collapse\">\n<p>As a state agency, we at UW have the authority to recognize employees, either individually or as a group under <a href=\"https:\/\/app.leg.wa.gov\/rcw\/default.aspx?cite=41.60.150\" target=\"_blank\" rel=\"noopener\">RCW 41.60.150<\/a>. All costs associated with the event (refreshments, gift, space reservation, etc.) may not exceed $200. The available budget may vary from department to department.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingFive\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseFive\" data-toggle=\"collapse\" data-parent=\"#accordion\"> How much money do departments typically allocate for employee recognition?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseFive\" class=\"panel-collapse collapse\">\n<p>It varies. One way is to estimate how many recognition events you anticipate per year, and what type and value you designate for the award. Some departments have awards that range from inexpensive items up to $75 for exceptional accomplishments. Remember that recognition can be meaningful without spending a lot of money.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingSix\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseSix\" data-toggle=\"collapse\" data-parent=\"#accordion\"> Can I order food and beverages for a recognition event?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseSix\" class=\"panel-collapse collapse\">\n<p>Can I purchase food and get reimbursed?Unless you have a discretionary budget, you must request pre-approval for the expenditure using the <a href=\"https:\/\/finance.uw.edu\/ps\/files\/1798.pdf\" target=\"_blank\" rel=\"noopener\">food form (UoW1798)<\/a>. With pre-approval, food may be provided for state employees for the purposes of recognition. You can be reimbursed for food purchases, as stated in the food policy (it must be for special business meetings, training, or recognition).<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingSeven\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseSeven\" data-toggle=\"collapse\" data-parent=\"#accordion\"> If a department is totally grant-funded, can it allocate money towards recognition?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseSeven\" class=\"panel-collapse collapse\">\n<p>Grant budgets vary in expenditures they allow. Some grants may allow recognition expenses; others may not. See the <a href=\"https:\/\/finance.uw.edu\/pafc\/spending\/cost-allocation\" target=\"_blank\" rel=\"noopener\">Cost Allocation policy<\/a> and contact your budget coordinator or email <a href=\"mailto:gcahelp@uw.edu\" target=\"_blank\" rel=\"noopener\">Grant and Contract Accounting<\/a> for more information.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingEight\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseEight\" data-toggle=\"collapse\" data-parent=\"#accordion\"> What information does Payroll need for taxable gifts?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseEight\" class=\"panel-collapse collapse\">\n<p>Any cash-converting gift certificate or cash award is considered pay and needs to be taxed accordingly. Send an email to <a href=\"mailto:pr-tax@uw.edu\">pr-tax@uw.edu<\/a> and include the award recipient\u2019s name, UW Employee ID number, and gift certificate amount. You can also send questions on the department\u2019s reporting responsibility for cash or cash-converting gift certificates to <a href=\"mailto:pr-tax@uw.edu\">pr-tax@uw.edu<\/a>. A best practice is that all recognition awards be recorded regardless of value.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingNine\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseNine\" data-toggle=\"collapse\" data-parent=\"#accordion\"> Are recognition awards taxable?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseNine\" class=\"panel-collapse collapse\">\n<p>Cash and cash-equivalent awards are taxable, regardless of the amount. Personal spending should not be the only source of departmental-wide recognition activities and remember it\u2019s best to tie the recognition gift or reward to a specific behavior or a key goal in your department.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingEleven\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"collapsed panel-link\" href=\"#collapseEleven\" data-toggle=\"collapse\" data-parent=\"#accordion\"> Can retirement gifts be paid for with recognition funding?<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseEleven\" class=\"panel-collapse collapse\">\n<p>\u202fRetirement gifts are held to the same standard as recognition gifts. Recognition funding can be used to pay for the event that recognizes the employee\u2019s length of service and contributions to the department.
