Outside of legislatively authorized pay increases, changing a position\u2019s salary, compensation grade, or job profile requires advance approval from Compensation.<\/p>\n<p>For guidance regarding the position review process for <a href=\"https:\/\/hr.uw.edu\/comp\/represented-civil-service-exempt-staff\/overview\/\">Represented civil service exempt staff<\/a>, please see the <a href=\"https:\/\/hr.uw.edu\/comp\/represented-civil-service-exempt-staff\/position-review-process\/\">Represented CSEs position review process<\/a> or the applicable <a href=\"https:\/\/hr.uw.edu\/labor\/staff-unions\">collective bargaining agreement<\/a>.<\/p>\n<p>A professional staff position may be reviewed for:<\/p>\n<ul>\n<li><strong>In-grade Salary Adjustment<\/strong> &#8211;\u00a0review for an increase in salary with no change to grade;<\/li>\n<li><strong>Position Job Profile Review\u00a0<\/strong>\u2013 review for job profile change with no change in pay or compensation grade; or,<\/li>\n<li><strong>Position Review<\/strong>\u00a0&#8211; a comprehensive review for eligibility for professional staff exemption from civil service and for professional staff title, salary amount, and compensation grade assignment.<\/li>\n<\/ul>\n<p>A review can be initiated by the appointing authority, manager, supervisor, or employee, but require:<\/p>\n<ul>\n<li>pre-approval by the supervisor, the department\/division head, and the appointing authority (dean or vice president or medical center CEO\/COO); and<\/li>\n<li>a current performance evaluation (one completed within the previous 12 months) is required to support recommendations for merit salary adjustments, and in-grade or grade change salary increases as set forth in the Professional Staff Program.<\/li>\n<\/ul>\n<p>There are no exceptions to these requirements.<\/p>\n<p>Follow the process below for the type of review you are requesting.<\/p>\n<div id=\"accordion\" class=\"uwhr-accordion\">\n<div class=\"panel panel-default\">\n<div id=\"headingOne\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseOne\" data-toggle=\"collapse\" data-parent=\"#accordion\">In-grade<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseOne\" class=\"panel-collapse collapse\">\n<p>An in-grade salary increase may be requested if the current compensation grade is appropriate, but there has been a:<\/p>\n<ul>\n<li>Change in level of duties and responsibilities<\/li>\n<li>Meritorious performance with increased level of functioning<\/li>\n<li>Market-related pressures (external equity)<\/li>\n<li>Employment offer or active recruitment from outside the University<\/li>\n<li>Misalignment of salary relationships (internal equity)<\/li>\n<\/ul>\n<h6><strong>Process Steps and Form Completion<\/strong><\/h6>\n<p>Supervisors consult with the department\/major organization\u2019s administrator and determine the desired salary adjustment and the reason(s) for it.<\/p>\n<p><strong>Campus supervisors: <\/strong>Follow the <a href=\"https:\/\/isc.uw.edu\/user-guides\/request_comp_change_sc\/\">Request Compensation Change &#8211; Staff &#8211; Campus<\/a> user guide to process your request in <a href=\"https:\/\/wd5.myworkday.com\/uw\/login.htmld\">Workday<\/a>. Contact <a href=\"https:\/\/employeehelp.workday.uw.edu\/\">Employee Workday Help<\/a> if you have questions.<\/p>\n<p><span style=\"font-size: 1rem\"><strong>Medical centers supervisors:<\/strong>\u00a0Complete the <a class=\"uwhr-form  \" target=\"_blank\" href=\"https:\/\/hr.uw.edu\/comp\/wp-content\/uploads\/sites\/5\/2016\/02\/professional-staff-compensation-change-request-20250807-a11y.pdf\">Professional Staff Compensation Change Request (PDF)<\/a>\u00a0<\/span>and forward it for organizational approval. The final organizational approver\u00a0will send the approved request to Compensation. Compensation completes the review and emails notification of the results to the individuals designated on the form.<\/p>\n<h6><strong>Review Completion Timeline<\/strong><\/h6>\n<p>Most in-grade salary adjustment requests are processed within three business days of receipt if:<\/p>\n<ul>\n<li>The salary change is ten percent or less.<\/li>\n<li>The resulting salary is less than the compensation grade maximum.<\/li>\n<li>For grades 5-10, the salary level requested does not exceed 130% of the market-range midpoint for the job profile.<\/li>\n<\/ul>\n<p>Requests that do not meet these criteria may take longer, but most in-grade adjustment reviews are completed within 10 to 15 business days of receipt.<\/p>\n<\/div>\n<\/div>\n<div class=\"panel panel-default\">\n<div id=\"headingTwo\" class=\"panel-heading\">\n<h5 class=\"panel-title\"><a class=\"panel-link collapsed\" href=\"#collapseTwo\" data-toggle=\"collapse\" data-parent=\"#accordion\">Job profile\u00a0change<i class=\"fa panel-title-icon\"><\/i><\/a><\/h5>\n<\/div>\n<div id=\"collapseTwo\" class=\"panel-collapse collapse\">\n<p>A job profile change may be requested when the salary and grade remain appropriate.
