{"id":2221,"date":"2024-04-01T00:00:00","date_gmt":"2024-04-01T07:00:00","guid":{"rendered":"http:\/\/hr.uw.edu\/comp\/?page_id=2221"},"modified":"2026-07-06T07:47:57","modified_gmt":"2026-07-06T14:47:57","slug":"create-position-checklist","status":"publish","type":"page","link":"https:\/\/hr.uw.edu\/comp\/classified-staff\/create-position-checklist\/","title":{"rendered":"Create position checklist &#8211; Classified staff"},"content":{"rendered":"<h2>Classified Staff Position<\/h2>\n<p>This checklist is to help HR Partners and Additional Approvers ensure that a create position request is complete and ready for the HR Compensation Office\u2019s detailed review.<\/p>\n<ul>\n<li><strong>Review Position Request Reason.<\/strong> Ensure reason selected is <em>Create Position &gt; Employee.<\/em><\/li>\n<li><strong>Confirm that a <em>Job Posting Title<\/em><\/strong> has been provided.\n<ul>\n<li>For Classified Staff positions, this is typically the job profile name, except Program Coordinators sometimes have more specific working titles related to the program they support.<\/li>\n<li>Other existing job profile or classification titles should not be used as a Business Title. For example, a Program Coordinator should not use Supervisor as their Business Title.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Review Requested<em> Job Profile<\/em><\/strong>\n<ul>\n<li>Is the requested Job Profile active in Workday?<\/li>\n<li>Is the requested Job Profile consistent with the duties? A helpful resource for this is the <a href=\"https:\/\/hr.uw.edu\/comp\/classified-staff\/classified-job-titles-and-specs\/\">list of Job title list and specs for Classified Staff positions<\/a>.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Check the <em>Job Description Summary<\/em>.<\/strong> This field is <strong>optional<\/strong>. It can be blank. If used, it should contain a few sentences to describe position\u2019s purpose.<\/li>\n<li><strong>Review <em>Job Description<\/em><\/strong>\n<ul>\n<li>Do not merely copy and paste this from the job class spec; this <strong>must be a description of the specific position in your organization<\/strong>.<\/li>\n<li>Must include a detailed description of position\u2019s\u00a0<strong>specific job responsibilities with estimated percent time<\/strong>\u00a0breakout. Total must equal 100% regardless of position\u2019s % FTE, typically in blocks of time 5% or larger.<\/li>\n<li>For contract classified positions <strong>minimum qualifications (MQs)<\/strong> must contain the exact language of the MQs on the job classification negotiated with the union. Additional \u201csoft\u201d non-quantified language and position-specific requirements may be added. Requests that do not include the exact language of the MQs on the specs will be sent back. Exception: Program Assistant and Program Coordinator position MQs need to be customized to reflect the needs of specific program.<\/li>\n<li>For classified non-union positions, <strong>desired qualifications<\/strong> are assumed to follow the desired qualifications on the state job class specifications. Requests that do not include the exact language of the desired qualifications may be sent back.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Confirm <\/strong><em><strong>Worker Sub-Type chosen<\/strong><\/em> is <em>Regular Salary<\/em><\/li>\n<li><span data-teams=\"true\"><strong>Confirm <\/strong><i><strong>Scheduled Weekly Hours<\/strong><\/i><strong>\u00a0<\/strong>have been entered and align with selected Time Type and Worker Sub-Type.<\/span><\/li>\n<li><strong>Attachments (Optional)<\/strong>. This field is not required for new\/vacant classified staff positions.<\/li>\n<li><strong>Confirm <em>Comments<\/em><\/strong> have been entered <strong>(Comments are required)<\/strong>\n<ul>\n<li>Provide comments\/justifications to communicate additional details about the position such as helpful organizational context. Is your program growing? Reorganizing?
