CLASS SERIES CONCEPT

Supervise and provide clerical and administrative support services for a department or organizational unit.

The Administrative Assistant Supervisor differs from the Program Support Supervisor 1 and 2 because jobs in the program series perform work requiring knowledge and experience specific to a program, as defined in the Class Series Concept for Program Assistant.

BASIC FUNCTION

Supervise staff primarily in the Administrative Assistant series and oversee the administrative operations of a work unit. Must supervise at least one full-time employee (1.0 FTE) or an equivalent combination of part-time, lower-level Administrative Assistants or other support staff.

DISTINGUISHING CHARACTERISTICS

With delegated authority, interview and recommend selection of applicants, conduct training, assign and schedule work, act upon leave requests, conduct annual performance evaluations, and recommend disciplinary action. Overtime exempt positions must supervise at least 2.0 FTE or an equivalent combination of full-time or part-time lower-level Administrative Assistants or other clerical and administrative support staff.

TYPICAL WORK

Supervise and direct the work of Administrative Assistants and others, to include interviewing and selecting staff, assigning and scheduling work, acting upon leave requests, establishing job performance standards, conducting annual performance evaluations, recommending corrective action, and participating in disciplinary action plans;

Develop, prepare, and maintain specialized reports regarding operational activities for use in budgeting and planning;

Propose changes to administrative staffing based on changes in departmental or organizational unit operations;

Assist with development and implementation of systems and processes to evaluate and report on departmental or organizational unit key performance indicators;

Assist in developing the department or organizational unit’s annual budget, metrics, goals, and objectives for the staff or work unit;

Establish, implement, and advise on administrative policies and standards;

Complete special projects as assigned;

Plan and coordinate staff meetings;

Perform the work of Administrative Assistant 1, 2, 3, and Lead; and

Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Requires High School/GED AND five years of office or administrative support experience to include one year of experience as a full-time lead or supervisor OR an equivalent combination of education and experience.
