CLASS SERIES CONCEPT

Perform a variety of clerical duties in support of office or unit operations. The Administrative Assistant series differs from Program Assistant and Program Coordinator because jobs in the program series perform work requiring knowledge and experience specific to a program, as defined in the Class Series Concept for Program Assistant.

BASIC FUNCTION

Lead staff primarily in the Administrative Assistant series to include assigning, organizing, and scheduling work; review completed work assignments. Must lead at least one full-time employee (1.0 FTE) or an equivalent combination of part-time, lower-level Administrative Assistants or other clerical and administrative support staff.

DISTINGUISHING CHARACTERISTICS

Lead level in the Administrative Assistant series. Under general direction, regularly assign, instruct, and check the work of others.

TYPICAL WORK

Train, assign, provide direction, and check the work of clerical and administrative support staff;

Participate in interviewing clerical and administrative support staff;

Provide performance feedback to management;

Design and create grant/budget proposals, annual reports, and project monitoring reports;

Assess and develop quality control methods for department or organizational unit;

Evaluate training needs of departmental or unit staff and submit recommendations to management;

Provide interpretation of departmental or unit policies and resolve escalated matters or inquiries;

May oversee the day-to-day operations of an office, work unit, or administrative function;

Perform the duties of Administrative Assistant 3; and

Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Requires High School/GED AND four (4) years of office or administrative support experience to include one year work experience as Administrative Assistant 3 OR a combination of equivalent education and experience.
